Tips: How to configure internet e-mail accounts in Outlook 2010

The Internet E-mail information service in Microsoft Outlook is able to store information that lets you log on to your Internet e-mail server. You can get this service from Outlook during a typical setup scenario. Your ISP (Internet Service Provider) will provide the required settings that populate the configuration pages of the Internet E-mail information service. In this article, let’s discuss about configuring the Internet E-mail information service.
It is required to configure the Internet E-mail information service to send and receive messages in Outlook. If you’re going to perform the steps, it is required to following specific information about your e-mail account to configure in Outlook manually.

•    Your full e-mail address.
•    The type of e-mail account: POP3, IMAP or HTTP.
•    Your user name.
•    Your password.
•    The SMTP server name or address.
•    The POP3 server name or address.
•    Is Secure Password Authentication (SPA) required?
•    The port number that is used for SMTP. (Most ISPs use port 25.)
o    Is encryption (SSL is most common) required for the port?
•    The port number that is used for POP3. (Most ISPs use port 110.)
o    Do you require encryption (SSL is most common) for the port?
•    Does the outgoing e-mail server (SMTP) require authentication?
o    If so, do you use my normal e-mail name and password?

You can use the following procedure to configure the Internet E-mail information service as appropriate for the version of Outlook that you are running.
Let’s discuss about Microsoft Office Outlook 2010

1.    First, it is required to start Outlook.
2.    Now, in file menu, it is required to click Info and then select Account Settings.
3.    Then, select Account Settings from the drop down list.
4.    Now, it is required to click New on the E-mail tab and then select E-mail Account.
5.    It is required to click Next now.

6.    Then, select Manually Configure Server Settings or additional server types check box and then click Next again.
7.    Now, it is required to select Internet E-mail and then click Next.
8.    Then, click Microsoft Exchange, POP3, IMAP, or HTTP and then click Next in the Add new E-mail Account dialog box.
9.    Now, you can configure the new e-mail account automatically or manually.

o    If you wish to configure the e-mail account automatically, it is required to follow the steps in the Add new E-mail Account dialog box under Auto Account Setup.
a.    First, type your full name in the Your Name box.
b.    Type the e-mail  address in the E-mail Address box.

Your email address usually takes the form of a combination of your first and last name and the name of your ISP, separated by the at sign (@) and periods. You can get this information your ISP.

For example, Author uses an ISP that is named . The ISP may assign an email address of author@.
c.    It is required to enter the password that is provided by your ISP.
d.    Make sure that you’re retyping the password in the Retype Password box and then click Next to begin the Auto Account Setup process.

Outlook 2010 will try to automatically configure your account settings and server settings. If your account is successfully configured, the Add New E-mail Account dialog box indicates that the account was created successfully. This dialog box also indicates the type of email server to which you are successfully connected.
e.    Then, click Finish and then click Close to complete the account setup.
f.    If this automatic configuration gets failed, it is required to configure the account manually.

Now, let’s discuss about manually configuring the new e-mail account. As mentioned above, perform the steps in the Add New E-mail Account dialog box.
g.    Now, click to select the Manually configure server settings or additional server type check box and then click Next.

h.    Click Internet E-mail, and then click Next.
i.    Then, click Internet e-mail and then click Next.
j.    Now, under the User Information follow the following steps.
k.    First, type your full name in the Your Name box.
l.    Type the e-mail  address in the E-mail Address box.

m.    Now, in the Account Type box under Server Information, it is required to click to select the type of e-mail account that you have.

  • You can go with the following steps if you’ve selected POP3 or IMAP in the Account Type.

1.    It is required to type the name of the server in the Incoming mail server box. This is the server that holds your messages before you download them to the computer.
2.    Then, the name be in the form of "mail.contoso.com." Or, the name may be in the form of an IP address, such as 172.16.0.0.
3.    Now, in the Outgoing Mail server (SMTP) box, type the name of the outgoing e-mail server. Type the server name in the lowercase letters.
4.    The name may be in the form of "mail.contoso.com." Or, the name may be in the form of an IP address, such as 172.16.0.0.

  • Besides, if you’ve selected the HTTP in the Account Type box, follow the following steps.

1.    It is required to click the appropriate service provider for this account in the HTTP Service Provider box.

  • Hotmail

  • MSN

  • Other

2.    If you clicked Other in the HTTP Service Provider box, type the URL to the mailbox in the Server URL box.
3.    Then, follow these steps Under Logon Information:
3.    Now, in the User Name box, type your user name.
4.    The user name is usually the part of your e-mail address that is to the left of the at sign (@).
5.    Make sure that you’re entering the correct password that is provided by your ISP.
6.    You can click to select the Remember Password check box if you wish to have Outlook remember your e-mail account password.



7.    If your ISP requires it, click to select the Require logon using Secure Password Authentication (SPA) check box to log on by using Secure Password Authentication.
8.    Now, you can click Test Account Settings to open a dialog box that shows in a step-by-step manner each testing phase of the configuration that you entered.
9.    When you click Test Account Settings, the following process occurs:

  • The connectivity of the system to the Internet is confirmed.

  • You are logged on to the SMTP server.

  • You are logged on to the POP3 server.

  • It is determined whether the POP3 server must be logged on to first.

  • If it is required, Outlook automatically sets the Log on to incoming mail server before sending mail option.

  • A test message is sent. This message explains any changes that Outlook made to the initial setup.

  • You can click More Settings to open the Internet E-mail Settings dialog box to make additional changes to your e-mail account.
  • Then, click on Next and then click on Finish.

  • That’s it. You’ve successfully configured the Internet e-mail accounts in Outlook 2010.
