Tips: How to configure the mail flow between Exchange 2007 and LotusDomino

Handling the e-mail addressing between Microsoft Exchange 2007 and IBM Lotus Domino is the main contemplation while configuring the mail flow. When you use a subdomain or different namespaces, the steps to configure the mail flow will be differed for sharing a domain name.
Let’s have the detailed information about configuring an Exchange 2007 Server and a Domino Server to send the e-mails between the servers. Here, we have the steps for subdomains for the messaging domains. Specifically, as the Microsoft Exchange SMTP address space and as the Domino address space.
By using the SMTP protocol in Microsoft Exchange, we can route messages to Lotus Notes from Exchange. This is a changed process from the earlier versions of Microsoft Exchange. In order to create a successful message flow to a Domino Server in the earlier versions of Microsoft Exchange, it is required use the Message Transfer Agent (MTA) and we should have the Notes client installed in Microsoft Exchange Server.

How to configure the Exchange server?

Before performing the following steps, make sure that your account has the following users.
•    Exchange Server Administrator role and local Administrators group for the target server

Also, ensure that the computer you use has the Edge Transport server role installed and you’ve logged in with the local administrator group privileges.

 Step 1: Creating a new remote domain

First, it is required to create a remote domain to represent the Domino Address Space. You can go with the following steps to do this.
1.    First, start the Exchange Management Console.
2.    Now, in the navigation pane, it is required to expand the Organization Configuration container.
3.    Click Hub Transport under Organization Configuration,.
4.    Click the Remote Domains tab from the details pane,.
5.    In the Actions pane, select New Remote Domain.
6.    Then, in the New Remote Domain dialog box that appears, type a descriptive name in the Name box. For example, type Domino_Mail.
7.    Now, in the Domain name box, it is required to type the SMTP root domain for Exchange users and for Lotus Notes users. For example, type
8.    Once you type the root domain, click to select the Include all subdomains check box, and then click Next. The Include all subdomains check box lets you use this remote domain object to route messages to the domain.

Follow the following steps to create a new domain.

1.    After you create the domain object, right-click the object, and then click Properties.
2.    Once you create the domain project, it is required to right click on the object to select Properties.
3.    Now, click the General tab from the Domino_mail Properties.
4.    Under Out-of-office message types delivered to this remote domain, click Allow external out-of-office messages only.
5.    Then, click the Message Format tab.
6.    Click “Never use from the Exchange” rich-text format and click OK.

 Step 2: Configuring a new SMTP Send connector

Once you finish creating the remote domain object for the Notes users, it is required to create a new SMTP Send connector. This is to classify and let Microsoft Exchange know where to send messages that are destined for the Domino Domain. In the example domain that is used in this document, Notes users have an SMTP address of and Microsoft Exchange uses DNS to deliver to the domain. Check out the steps in configuring a new Send connector.
1.    In the Actions pane under Hub Transport, click New Send Connector.
2.    First, click New Send Connector from the Actions pane under Hub Transport.
3.    Type a descriptive name in the Name box from the New SMTP Send Connector. The name can be like Domino_Outbound.
4.    In the Select the intended use for this Send connector list, click Custom, and then click Next.
5.    Now, under Address space, click Add.
6.    Type in the Domain box.
7.    Then, click OK and Next.
8.    It is required to click Use domain name system (DNS) "MX" records to route mail automatically under Network settings and click Next. If you do not have DNS name resolution configured for the Domino domain, you can click Route mail through the following smart hosts, and then configure the Domino server as a smart host.
9.    Now, you can review the items that appear under Configuration Summary, and click New.

 Step 3: Configuring a new SMTP Receive connector

Now, let’s discuss about creating a new SMTP Receive connection for letting the Domino SMTP server deliver messages to the Microsoft Exchange Server as it’s not possible to have two connectors that feature the same scope. Therefore, it is required to make this connector different from the default Receive Connector. Moreover, we can also specify the IP address or the port address that this connector listens to. The example we’ve discussed in this article has a specific IP address for the Receive connector. You can go with the following steps to create a new connector.
1.    First, in the Exchange Management Console, it is required to perform one of the following steps.

Edge Transport server

1.    Select Edge Transport on the computer that has the Edge Transport server role installed in it.
2.    Now, select the “Receive Connectors” tab from the details pane.
3.    Then, on a computer that has the Hub Transport server role installed, it is required to expand Server Configuration
4.    After that click Hub Transport.
5.    Select the server on which you want to create the connector.
6.    Then, click the Receive Connectors tab.
2.    After that click New Receive Connector from the Actions pane.
3.    Now, type a descriptive name in the Name box available in the New SMTP Receive Connector (Ex. Domino_Inbound).
4.    Then, click Custom and Next from the list “Select the intended use for this Send connector”.
5.    Once you finish the above steps, click Add from the Local Network Settings window and type the IP address that you wish to have for the server for receiving Domino messages. (Ex.
6.    Then, click OK.
7.    After that, in the Specify the FQDN this connector will provide in response to HELO or EHLO box, type the FQDN of the server. For example, type
8.    Now, click Next to review the items that appear under Completion.
9.    Then, click Finish.
10.    Click Next.

 Step 4: Configuring the Receive connector

Once you successfully finish creating the new SMTP Receive connector, it is required to configure the connector to allow the Domino server to submit messages to Exchange. Follow the following steps to do this.
1.    First, it is required to right-click the new SMTP Receive connector and click Properties.
2.    Now, click the Permission Groups tab.
3.    After that, you can click to select the following check boxes.
o    Anonymous users
o    Exchange servers
4.    Click the Authentication tab, click to select the Externally Secured [for example, with IPsec] check box, and then click OK.

 Step 5: Configuring the Domino server

Now, let’s discuss about configuring the documents on the Domino Server to configure the mail flow together with MS Exchange. The followings are included in this change.
•    Modifying the Server document
•    Modifying the Domain configuration document
•    Modifying the Server configuration document
•    Creating a new SMTP domain to represent the Exchange domain

In order to modify the server document, it is required to follow these steps:

1.    First, start a Lotus Notes Client instance by using the account that has the administrative privileges.
2.    Now, it is required to open the Domino Directory.
3.    After opening the Domino Directory, navigate to Configuration>> Servers and then select All Server Documents.
4.    After that, expand the domain if it isn’t already expanded and select the server object.
5.    Once you finish the above steps, it is required to click Edit Server. In this document, the domain is named contoso and the example Domino server is named DomSrv1/contoso.
6.    On the Server: DomSrv1/contoso page, you can click the Basics tab and then modify the SMTP Listener Task.
7.    To do this, click the task, click Enabled in the Select Keywords dialog box, and then click OK. This action lets the Domino server listen on port 25 for SMTP connections.

The following steps are about modifying the Routing Task to encompass SMTP Mail Routing. In order to do this, it is required to follow the following steps.
1.    First, select Mail Routing.
2.    Now, in the Select Keywords dialog box, click to select the following check boxes:
o    Mail Routing
o    SMTP Mail Routing
3. After that click OK.
2.    Now, click Save and Close.

For modifying the domain configuration document, follow these steps:

1.    First, in the Lotus Notes Client, navigate to Configuration?Messaging?Domain.
2.    Now, click the global domain project from the details pane to expand Global Domain.
3.    Then, click Edit Domain and on the Domain page, click the Conversions tab.
4.    Once you finish the above steps, modify the Alternate Internet domain aliases field by adding the domain.
5.    Then, click Save and Close.

In order to modify the server configuration document, follow the below steps:

1.    First, in the Lotus Notes Client, navigate to Configuration?Servers?Configurations.
2.    Now, click the server object such as DomSrv1/Contoso and click Edit Configuration.
3.    Then, it is required to click the MIME tab from the Configuration Settings: DomSrv1/Contoso page.
4.    Click the Conversion Options tab from the MIME tab.
5.    Now, select the General tab from the Conversion Options tab.
6.    After that, it is required to change the Return Receipts option to “Disabled”.
7.    Select Outbound tab from the Conversion Options tab.
8.    On the Outbound tab, change the Message content option from Notes to Plain Text to from Notes to Plain Text and HTML. This action enables additional message enhancements when messages are sent from Notes to Microsoft Exchange users.
9.    Then, click Save and Close.

Now, let’s have a brief discussion about adding new domain, follow these steps:

1.    First, in the Lotus Notes Client, navigate to Configuration?Messaging?Domains.
2.    Now, click Add domain from the details pane.
3.    Then, it is required to click the Basics tab from the domain.
4.    After that, change the Domain type field from Foreign Domain to Foreign SMTP Domain.
5.    Now, click the Routing tab.
6.    Then, modify the Internet Domain field to specify the Exchange subdomain. For example,
7.    Once you finish the above steps, modify the Internet host field to specify the FQDN or IP address of the Exchange server to which you wish to route the outgoing SMTP messages.
8.    Then, click Save and Close.
